Apostille services · Pennsylvania documents

Pennsylvania Apostille Services

Need an apostille but not sure where to start?

DeMiLe Notary Services helps clients understand the apostille process and coordinates document preparation and submission for eligible Pennsylvania documents.

Request Apostille Help Call (484) 540-4009

What Is an Apostille?

An apostille is an official certificate attached to a document so it will be recognized in another country. It confirms that the signature, seal, or stamp on your document is genuine and came from a legitimate source.

Apostilles are used for countries that participate in the Hague Apostille Convention, an international agreement that makes it simpler to use public documents across borders. For documents issued in Pennsylvania, apostilles are issued by the Pennsylvania Department of State.

An apostille doesn't check or change what your document says. It simply confirms the document is authentic so another country can accept it.

Good to know

Not every country participates in the Hague Apostille Convention. Documents headed to non-participating countries may need a different authentication process. We can help you understand what may be required.

Common Documents That May Need an Apostille

Here are some of the documents people most often need apostilled for use abroad.

Birth certificates
Marriage certificates
Death certificates
School records and diplomas
Powers of attorney
Business documents
Adoption documents
Court documents
Notarized personal documents
Other official records

Document requirements vary depending on the type of document and where it will be used. Please contact DeMiLe Notary Services before submitting anything so we can confirm what your document needs.

  • The state where the document was issued
  • The country where the document will be used
  • Whether it's an original, a certified copy, or a notarized document
  • Your desired deadline

Please do not mail or upload original documents until we have reviewed your request and provided instructions.

Apostille vs. Notarization

These are two different processes, and it's common to need one before the other.

Notarization

A notary confirms the identity of the person signing and witnesses the signature. This happens with you, in person, and is often the first step for documents you sign yourself.

Apostille

An apostille is issued by a government office and certifies a public document so it can be accepted in another country.

Some documents, such as powers of attorney or affidavits, need to be notarized before they can receive an apostille. If yours does, we can take care of the notarization as part of the process.

Frequently Asked Questions

What is an apostille?

An apostille is an official certificate attached to a document so it will be accepted in another country. It confirms that the signature, seal, or stamp on the document is genuine. Apostilles are used for countries that participate in the Hague Apostille Convention.

Do all documents need to be notarized first?

No. Documents signed by an individual, like a power of attorney, affidavit, or personal statement, usually need to be notarized before they can receive an apostille. Records issued by a government agency, like birth or marriage certificates, typically don't need notarization, but they generally must be certified copies from the proper agency. We'll help you figure out which applies to your document.

Can you apostille a birth certificate?

The apostille itself is issued by the Pennsylvania Department of State, but we can help coordinate the process for an eligible Pennsylvania birth certificate. Generally, it needs to be a certified copy issued by the Pennsylvania Department of Health. Photocopies and hospital-issued keepsake certificates are not accepted, and some older copies may need to be replaced with a newer certified copy. Contact us first so we can review what you have.

How long does the apostille process take?

Processing times vary depending on the document, issuing agency, destination country, and requested service. Some steps, like ordering a new certified copy, can add time. Share your deadline when you reach out, and we'll give you a realistic idea of what to expect. We aren't able to guarantee timelines set by government agencies.

Can you help with documents going to another country?

Yes, that's exactly what an apostille is for. If the destination country participates in the Hague Apostille Convention, an apostille is usually what's needed. Countries outside the convention may require a different authentication process, and we can help you understand what may be required. Some countries or receiving offices also have extra requirements, such as translations, so it's a good idea to confirm with whoever asked for the document.

What information do you need from me before I send my document?

Please tell us what type of document you have, the state where it was issued, the country where it will be used, whether it's an original, a certified copy, or a notarized document, and your deadline. Please don't mail or upload original documents until we've reviewed your request and sent you instructions.

Can I bring my documents to you in person?

As a mobile service, we don't have a walk-in office. Once we've reviewed your request, we'll let you know the best way to get your documents to us, which may include meeting in person at a convenient location. Please wait for our instructions before handing off or sending any original documents.

Not sure what your document needs?

Start with a quick request and tell us what document you have and where it will be used. We'll help you determine the next step.

DeMiLe Notary Services is not a law firm and does not provide legal advice. We are not a government agency; apostilles are issued by the appropriate government office, and government fees may apply.

About Our Services

Where do you provide services?

We bring the notary to you. DeMiLe Notary Services is based in Folcroft, Delaware County, PA, and serves Delaware County and surrounding communities. Appointments may be available in portions of Chester, Philadelphia, and Montgomery Counties. Whether you're at home, at work, in a hospital, or somewhere else entirely, we'll meet you there. Travel fees are based on one-way driving distance from our designated Folcroft service base, starting at $20 for local travel, with a maximum standard travel distance of 25 miles. You'll receive your quote before your appointment is confirmed.

What are your hours?

Our regular business hours are Monday–Friday, 9:00 AM – 6:00 PM, and Saturday, 10:00 AM – 4:00 PM. Sundays are by appointment only. Appointments outside regular business hours are subject to availability. A $20 after-hours surcharge applies to weekday appointments starting at 6:00 PM and to all Sunday appointments. Saturday appointments between 10:00 AM and 4:00 PM are available at regular travel rates.

Can you meet me at a hospital, nursing home, or care facility?

Yes, and we do it often. We serve clients in hospitals, rehabilitation centers, and assisted living communities. Please mention the location when booking, since Pennsylvania law requires that each signer be alert and aware of what they're signing at the time of notarization.

What services do you offer?

We notarize powers of attorney, affidavits and sworn statements, acknowledgments for deeds and contracts, and estate and trust documents. Not sure if your document qualifies? Text us a photo at 484-540-4009 and we'll let you know. Please do not send Social Security numbers, financial account numbers, or other sensitive personal information.

Booking & Payment

How do I schedule an appointment?

Getting on the calendar is quick. Call or text (484) 540-4009, email michele@demilenotaryservices.com, or use our appointment request form. We typically respond within one business day. If you need someone today or it's an emergency, reach out anyway — same-day appointments may be available depending on scheduling and location.

What payment methods do you take?

We accept cash, debit and credit cards, Venmo, and Zelle to keep things simple for you.

Are there any additional fees?

Your total depends on your appointment. Travel fees are based on one-way driving distance from our Folcroft service base and start at $20 for local travel. A $20 after-hours surcharge applies to weekday appointments starting at 6:00 PM and to all Sunday appointments. Pennsylvania-regulated notarial fees are charged separately, and witnesses are $25 per witness when needed. All applicable fees will be explained and agreed upon before your appointment is confirmed.

What if I need to cancel or reschedule?

We get it, things come up. Please let us know as soon as you can. The notice we need depends on when your appointment was booked, and we'll go over it with you when we confirm your time. If we're already on the road when you cancel, a travel fee may apply.

Getting Ready for Your Appointment

What should I have ready?

Each signer will need a current government-issued photo ID, like a driver's license, state ID, or passport. Have your documents on hand, but hold off on signing until the notary is with you.

Do all signers have to be present?

Yes. Anyone whose signature is being notarized needs to be there in person with their own valid ID.

My document needs witnesses. Can you help?

Certain documents, such as some wills and powers of attorney, call for witnesses in addition to a notary. Let us know when you book, and we'll talk through whether you should bring your own or whether we can help arrange them. Witnesses are $25 per witness, separate from travel and Pennsylvania-regulated notarial fees, and availability must be confirmed before your appointment is scheduled.

What a Notary Can & Can't Do

Can you help me complete my document or explain it to me?

Notaries are not allowed to offer legal advice, select forms, or interpret what a document means. If you have questions about the contents, an attorney or the organization that gave you the document is your best resource. Once everything is filled out, we'll handle the rest.

Didn't see your question?

Call, text, or email us. We typically respond within one business day and are happy to help.
